I have to wait till this time next week to provide these information.

According to the data obtained from the system, there has been 42 allocated task
and only 22 are completed. The difference is mainly due to people forgetting to
change task status to "complete" when they finish tasks.
According to the data obtained from the system, the total worked hours are 67.8
out of 73.15 allocated hours. However, this is not mean we did a good
estimation. It is actually because many people do not update the system when
they finish tasks.
Overall, I don't think this week's information is of any use. We need to make
sure people are using the Online Task Tracking System properly first. But by
producing this report, it at least makes us aware of some metrics we can use to
refine our managerial process and also shed a light on what need to be improved.

First of all, since we have changed the task allocation cycle so that, from task
tracking perspective, a week now starts on Friday and ends on Thursday, I
have also provided the task report in this way.
Generally, there has been some improvemnts on following the task tracking
process. However, there are still 6 (out of 55) tasks that have not been logged
hours.

and directly executing SQL queries on them. I found it easier this way, and it
provides me with rather customised information. I can also reuse those queries

Last week was the first week that we decide to try to forecast tasks at the
start of each week, and it turns out that we actually managed to predict 50% of
tasks. Our aim this week is to increase this figure to 60%, and ultimately to
80% at the end of the year.
Again, some people still have not been accustomed to use task tracking system
regularly. 12 out of 121 tasks have not been logged any hours, which is not too
bad, but certainly improvable.
Time estimate has also been done reasonably well, but the problem I have
identified is the longer the task is, the more likely the prediction is not good
enough, for example:
having "SRS sections 10(expect) 10(actual)" is just one in a million chance.
Tasks like this need to be further decomposed.
Kieran note, doing audit for 340 should not be document as a project task. I
know it takes a lot of effort but over the year it is even across everybody. So
the compromise is no one should record this.

Generally, there is a significant improvement in forecasting tasks at the start
of the week. The percentage has been increased from 50% last week to 80% this
week, which is what we will try to maintain. However, this week's report has
also exposed a number of problems.
Firstly, out of 306.21 hours of logged project work, only 257.21 hours are for
the tasks that due in this week. This indicates that people are logging hours
for tasks in previous week(s) that haven't been logged before.
Secondly, 14 (114-100) tasks are not completed (still an improvement from last
week though). This is due to either tasks due dates being extended or people
forgetting to change the status to complete.

One thing to note for this week is that the percentage of tasks allocated at the
start of the week has been decreased to 47% (lowest than any past week.) The
major causes are:
1. planning in some sub-teams are not done ahead of time
2. many unexpected tasks emerge during the week
3. task allocation day turns out to be the day before 7th May
All of these can be avoid by planning ahead of time. In fact, we should be
planning not only for the coming week, but weeks and months ahead.

Good news to sub-team leaders: This week's pre-allocation rate is 65%. You guys
have made some steady improvements towards our 80% goal. Keep on going next
week.
There have always been a number of tasks unlogged each week, which is quite
annoying at least, regardless of the reasons. Just to remind again, please make
sure that:
1. tasks are logged properly and on time.
2. in case there is a slippage, the assigner of the task needs to be notified,
with the cause of the slippage.
3. in case a task has been cancelled, due to some external or internal reasons,
such as client meeting being cancelled, the assignee of the task should change
the status to 'suspend' to make the task outstanding among all overdue tasks.
I have decided to, from this week, list all overdue tasks in the report. From
next time, one bad point will be awarded to every occurrence of the names
listed in the overdue tasks list below, if the above three actions have not been

This week's overdue tasks (or rather "unlogged tasks") are so many (24) that I
don't even want to list. However, I have identified some major contributors
below.

I don't think I would issue one bad point to each of the occurrence above, as I
have said last week, otherwise someone's name will be reported to the supervisor
immediately as a result of reaching the "worst" end on the honour board.
However, there shouldn't be any reason for not logging 6 or 7 tasks each week
(which is like the majority of tasks). I would like to hear from the above
people if there is any particular difficulty for using Netoffice, otherwise,
please start logging hours punctually from the next week we resume because it is
a prerequisite, for the task report to be useful, that people are logging
information on hours spent.
I was also uncomfortable with the 53% figure representing the tasks allocated
before the start of last week. I went one step further to list this information
based on sub-teams and I also identified some major contributor for this
figure.

I understand for QA tasks, there is some degree of uncertainty. For instance,
the task of processing a PIP is only initiated when a PIP is submitted. In that
case, I would recommend allocate half hour to every body per week because we
have enough experience to make a reasonable good estimation on this. And this is
the whole point of doing planning and effort estimation. For the Requirement
tasks, I have checked the tasks in details and I couldn't find any evidence to
convince myself that there could possibly be any reason for not allocating even
one task at the start of the week. The requirement sub-team leader should make
sure that this will not happen again.

While other people are having holidays, I am very please that we have worked
297.24 hours in total for our project last week, which is 22.80 hours per person
in average. Some people, like Yuri, Nat and MeiLing have even worked for over 30
hours!! Meiling is even 40 hours. (You really think yourself as full time?) I am
very pround of you guys and I think all of us should be pround.
I have to confess that I have 4 tasks overdue last week. There are 11 tasks due
on 16th that hasn't been logged, which I guess is partially because of the crash
of the server.
